Envelopes can be sent using the "Documents" option by uploading files, with support for multiple files.
To add documents, access the eZSign app
When multiple documents are uploaded, DocuSign consolidates them into a single file.
Within the document, you can add markers to indicate where signatures should be placed. DocuSign recommends that these markers match the document's background color to ensure they do not overlap or interfere with the signature when added.
After uploading, you need to define the participants in the envelope process. Fill out the fields as follows:
- Name: The name of the person involved in sending the envelope. This field automatically pulls from ticket participants (requester, assignee, and follower). Selecting one of these options also auto-fills the email field.
- Email: The email address of the person involved in the envelope process.
- Sign: Defines the person's role in the envelope process—either as a viewer, signer, or recipient of a copy.
In the "Customize" section, additional optional information can be added:
- Access Code: Optional. Available in the "Customize" section.
- Markers: If the person is a signer, indicate the marker used in the document.
- Signature Type: Determines the type of signature for the signer, based on the options available in the integrated DocuSign account.
- Initials: If selected, displays placeholder fields for the initials.
To add more participants to the envelope, click the blue (+) button.
You can define the email subject and body for the envelope. If left blank, DocuSign will populate these fields with a default message.
Click Send to finalize the process.
Once sent, the ticket is updated with a tag and an internal note indicating the names of participants, as well as the date and time of the envelope's submission.
After sending, the envelope status can be checked in the Sent tab. The status will show as "waiting," represented by a clock icon, until all participants have signed the document.
When all participants complete their signatures, the final document is sent to the email addresses of all participants.
